Automatic Emails

Automatic emails are triggered by specific events in Scored — no manual action required. Set them up once and Scored handles the rest.

What are Automatic Emails?

Automatic emails are sent on your behalf whenever a defined event occurs in the platform. They keep your members informed without requiring staff to manually send anything each time. Once enabled and configured, they run in the background continuously.

Types of Automatic Emails

  • Registration Confirmation: sent when a player registers at the kiosk or online, confirming their spot in a league or team.
  • Payment Receipt: sent when a payment is successfully processed via Stripe, providing the player with a record of their transaction.
  • Fixture Reminder: sent the day before a scheduled match to remind players of their upcoming game time and court location.
  • League Welcome: sent when a player joins a league for the first time, welcoming them and sharing key information about the competition.

Enabling and Disabling

Go to Marketing > Campaigns tab to manage automatic email campaigns. Each email type has its own toggle — switch any on or off independently. Disabling an automation stops future sends immediately; emails already sent are not affected.

Customising Templates

Each automatic email has a fully customisable template. Click Edit Template next to any automation to open the email editor, where you can update the subject line and body text. Use dynamic merge fields (such as player name and fixture date) to personalise the content for each recipient.

From Address

Automatic emails are sent using the sender name and email address configured for your venue. To update these details, go to Settings > Organisation and update the email sender fields.

Testing Before Enabling

Use the Send Test Email button on any template to preview exactly what your players will receive. Always send a test to yourself before enabling a new automation to check formatting, merge fields, and content accuracy.
