Filtering Email Recipients

Send targeted emails to specific groups instead of your entire member list — more relevant emails lead to higher engagement and fewer unsubscribes.

Overview

Recipient filtering lets you narrow the audience for any email campaign so that each message reaches only the members it is relevant to. Rather than messaging all your members at once, you can target by league, sport, payment status, activity level, and more.

Accessing Filters

When creating a campaign, click the Recipients field and choose Filter. A panel will open where you can set one or more filter criteria before composing your email.

Available Filters

  • By League: all members currently enrolled in a specific league.
  • By Team: all players assigned to a specific team.
  • By Sport: all members who participate in a particular sport at your venue.
  • By Payment Status: players with outstanding balances — useful for payment reminder campaigns.
  • By Registration Date: new members who joined in the last 30, 60, or 90 days.
  • By Check-in History: players who have not attended in a specified number of weeks — useful for win-back campaigns.

Combining Filters

Add multiple filters to narrow the audience further. All filters are combined with AND logic — a recipient must match every selected criterion to be included. For example: members of the “Summer Netball” league AND who have an outstanding balance.

Preview Count

As you set your filters, the estimated recipient count updates in real time so you can see how many players will receive the email before you send it. Always review this number to confirm the audience looks correct.

Use Cases

  • Pre-season announcements: use the By League filter to reach only the members enrolled in the relevant competition.
  • Payment reminders: use the By Payment Status (outstanding balance) filter to follow up with players who owe fees.
  • Win-back campaigns: use the By Check-in History filter to re-engage players who have been absent for several weeks.
  • New member onboarding: use the By Registration Date filter to send a welcome series to recently joined members.
